In order to support our growth plans and ambitions, we are currently hiring a Finance & Admin Manager.

Mission

  • Responsible for all finance management, related administration, declarations & statutory publications, and HR (payroll & policies)

  • Preparation of the annual Budget (in collaboration with CEO & COO), both in terms of P&L and cash flow.

  • Managing various costs (including allocation costs) and other bookings (including commissions) in the context of the month-end closing.

  • Managing the transactions on the general ledger accounts.

  • Follow-up of various declarations: VAT, tax sheets, RPB declaration, patrimony tax return.

  • Preparation, supervision and reporting of audit, in collaboration with Audit office (PWC)

  • Overlook invoice management (membership fees, events, partnerships... automated);

  • Monitor fixed assets and depreciation.

  • Finishing the monthly and annual closing.

  • Follow-up of the preparation of the annual accounts

  • Provide reporting from the accounts for cost follow-up.

  • Follow-up and assistance with the financial reporting of grant projects, as well as their alignment with accounting.

  • Play an active role in the elaboration / update of processes and procedures and their optimization.

  • Manage insurance portfolio (group insurances, hospitalization, BA, …)

  • Management facilities (leases Tech Lane/ BioHub);

  • Review contracts.

  • Checking salary bookings and monthly reconciliations (with SDWorx).

  • Coordination of annual review of FIP plan.

  • Follow-up of general HR legislation (via social secretariat).

Degree/ training & experience:

Bachelor Accountancy-Fiscality

Competencies

  • Minimum 5 years of experience in accounting.

  • Experience in administration and compensation &benefits.

  • Very good knowledge of Belgian VAT legislation

  • Desirable: familiar with financial management of grants.

  • Hands on, can-do mentality

  • Customer-oriented / commercial attitude.

  • Team player

  • People management: this role manages a part time admin support person (support invoicing & follow up)

  • Good language knowledge of Dutch and English.

  • PC skills: MS Office (Word, Excel).

  • Other: Octopus (accounting), Teamleader (CRM), Blue10 (automation software for admin processes, digital processing of purchase and sales invoices, etc), Mollie Payments software (international payment)
